Automating SME invoicing with AI means letting the assistant compose the invoice from already validated information, export it as PDF, watch the due dates and prepare payment reminders — while sending stays under human control. At Swiss Agent Network, the Invoicing service prepares quotes and invoices in the company format, triggers payment reminders and stays synchronised with the CRM. It is part of the Business plan and can be chosen as a service from the Starter plan onwards.

What the service covers

Four tasks that eat your month-ends.

Invoicing is not only a document to produce: it is a follow-up to keep, week after week, with clients you would rather not upset.

01

Prepare the invoice

Reuse the accepted quote, the work delivered and the agreed terms, then compose the invoice in your company format, exportable as PDF.

02

Control the sending

The invoice lands in your approval inbox. You check the amount and the recipient, then trigger the send. Nothing goes out behind your back.

03

Track due dates

Spot overdue invoices without combing through a spreadsheet: the assistant knows what was sent, when, and what has not been settled.

04

Draft the reminder

Prepare a payment reminder in your company tone, taking into account how old the invoice is and the client relationship.

Payment reminders

Claiming what you are owed without damaging the relationship.

This is the part business owners postpone most: nobody enjoys chasing a good client. A rule written in advance avoids having to decide case by case, under irritation or embarrassment.

01Detect

A due date has passed: the assistant flags it without waiting for your monthly review.

02Qualify

A few days late, or a settled non-payment? The treatment is not the same.

03Draft

A courteous first reminder, firmer afterwards, according to your rules.

✓Escalate

Beyond a threshold you set, the case goes back to a person.

Sales follow-up or payment reminder?

These are two different jobs. A sales follow-up targets a prospect who has not signed yet: the point is to move an opportunity forward. A payment reminder targets a client who has already bought and whose invoice is overdue: the point is to get paid without losing the client. Trigger, tone and validation level differ — and confusing them is expensive on both sides.

Guardrails

Money is where we automate least.

An invoicing error is not undone with a click: it goes through a credit note, an explanation to the client and sometimes an accounting entry to correct.

No invented amounts

A missing price or an ambiguous item is flagged as to be confirmed. The assistant never fills a gap by deduction.

Sending subject to validation

Preparation can be automatic; sending an invoice goes through your approval inbox, because it commits the company.

Capped escalation

You set the number of reminders and the threshold beyond which a human takes the case back. No endless automatic escalation.

History attached to the client

CRM synchronisation keeps the invoice status and the reminders sent in the right place, visible to your team.

What we do not automate

Formal notice, legal proceedings, disputes: these steps have legal consequences and stay decided by a person.

Where it fits

From quote to payment, one chain.

Invoicing is only useful when connected to what comes before and after it.

Upstream: the quote

The accepted quote becomes the basis of the invoice, without re-entering the client, the services or the terms.

Alongside: emails

Invoice requests, questions about amounts and acknowledgements arrive by email and are handled in the same flow.

FAQ

Invoicing and reminders: frequently asked questions.

How do you automate SME invoicing with AI?

The assistant reuses information that has already been validated — client, services, terms — and composes the invoice in your company format, exportable as PDF. Sending stays controlled by your rules. Automation covers preparation and follow-up, not the decision to commit the company.

Can AI chase an unpaid invoice?

Yes. The Invoicing service triggers payment reminders from overdue due dates and drafts the message in your company tone. The first reminder can be automatic and later levels subject to validation, depending on the framework you choose.

What is the difference between a sales follow-up and a payment reminder?

A sales follow-up targets a prospect who has not signed yet and aims to move an opportunity forward. A payment reminder targets a client who has already bought and whose invoice is overdue. Tone, trigger and relational risk differ, so validation rules differ too.

Can AI send an invoice without validation?

It is configurable, but we advise against it. An invoice commits the company, and an error in the amount or the recipient costs more than the time saved. Preparation can be automatic; sending stays subject to your approval inbox.

Does AI invoicing work with a CRM?

Yes, the Invoicing service is synchronised with the CRM so that an invoice status and the reminder history stay attached to the right client. Available integrations depend on the services activated in your plan.

Which plan includes invoicing?

Invoicing is part of the Business plan services and can be chosen as a service from the Starter plan onwards. Each quote or invoice prepared consumes 3 SAN credits. Details are on the pricing page.

Do we have to change accounting software?

No. The goal is to prepare documents and follow-up from your existing tools. If a business application has no usable interface, we say so during scoping rather than promising a fragile connection.

How long before we see an effect on unpaid invoices?

We do not promise a figure: it depends on your invoice volume, your payment terms and how regularly you chase today. The measurement method is set out in our guide on calculating ROI.
